Chargeback Conversion Program

Overview

The CHRGBACK program is used to convert photocopy and other expense transactions from a Chargeback unit to be compatible with the Tabs3 Import Data from Data Capture Devices program.

The CHRGBACK program must reside in the same directory as the Tabs3 programs in order to work properly. The Tabs3 program directory can be found by starting Tabs3 and selecting Help | About Tabs3.

Function key 1 on the Chargeback device is used for the User Number. Function keys 2 and 3 can be configured for a Client Number and Matter Number to be entered as two separate fields or as a single entry with the two numbers separated with a decimal point (like Tabs3).  Function keys 4 thru 9 can be assigned a corresponding Tabs3 transaction code number allowing expense entries of non-copier transactions (i.e. postage, federal express, u.p.s. shipping, etc.).  Function key 10 is used to enter photocopy counts from other copiers or for making adjustments to prior copier charges.

Note: This DOS program cannot be run under a 64-bit operating system. Although it can be installed on a 64-bit server, it must be run from a non-64-bit workstation.

Installation

The Chargeback interface program (CHRGBACK.EXE) must be transferred to the directory on your hard disk where the Tabs3 programs files reside. This is done by using the SETUP program on the Chargeback interface program CD.

To install the Chargeback Interface program on your hard disk:

  1. Insert the Chargeback Interface program CD into your CD drive.
     
  2. The installation program will automatically start.

    Note: If the CD-ROM Autorun feature is disabled, click the Start button, and then click Run…  Click the Browse button and navigate to the CD-ROM drive.  Double-click the LAUNCH.EXE file and click OK.
     
  3. Follow the on-screen instructions to install the software onto your hard disk

Executing the Chargeback Interface Program

Use the following procedure for conversion:

  1. Transfer the data from your Chargeback device to your computer's hard disk. The data must reside in a file named CHARGE.DDF in the Tabs3 program directory.
     
  2. From a DOS prompt from the Tabs3 directory, enter the command “CHRGBACK”  to convert the data in the CHARGE.DDF file to the required data format to be merged with Tabs3.
     
  3. The first time you run the CHRGBACK program, you will be asked to enter the Tabs3 transaction code number that you use for photocopy expense along with the cost per copy. Once you specify the transaction code number, the CHRGBACK program will use that same number each time you run the CHRGBACK program. You will also be prompted to enter a Tabs3 transaction code number to be associated with the Chargeback device's function keys 4 thru 9. Enter a valid Tabs3 transaction code or 0 if the function key is not used.

    Note: You may change any of the function key assignments or the copier charge in the future by deleting the file CHRGBACK.PRM which is created in your Tabs3 directory during Step 3 of the execution instructions. This will enable you to go through the setup procedure described in Step 3 as a first time user of the program.
     
  4. Next, you will be asked "Is it OK to continue? (Y/N)". If you enter "N" the program will be aborted. If you enter "Y" the program will look for the CHARGE.DDF file containing the Chargeback device's data. If the CHARGE.DDF file is found to contain data, the program will display the message "Converting Transactions" followed by a "." for each transaction read from the file. The files T3EXPKEY.REM and T3EXP.REM will be created which can be merged with the main Tabs3 data files. You must then startup Tabs3 and run the Import Data from Data Capture Devices program.

Important: Be sure to clear the transactions from your Chargeback device's memory to avoid duplication of data merged with your TABS files.

Note: If you are not using a demo version of the program, the CHARGE.DDF file will automatically be deleted when the CHRGBACK program is done to avoid double-posting of the data.
