Intel Net SatisFAXtion Interface Program

Overview

The INTELFAX program is a DOS program. It is used to convert fax transactions from an Intel Net SatisFAXtion fax activity report to a format that is compatible with the TABS III Merge Data Capture Transactions program.

This program can also create a client identification file that can be used by the Intel Net SatisFAXtion System. This file will contain a record for each active client/matter that exists in the TABS III Client file.

Note: The INTELFAX program must reside in the same directory as the TABS III programs in order to work properly.

Note: The Create Validation Files program must be run before you can successfully use this data capture device interface program. The Create Validation Files program is found in TABS III by selecting the following menu options Maintenance|Integration|Create Validation Files. When creating validation files, select a Validation File Type of Data Capture Device.

Installation

The Intelfax interface program (IntelFax.EXE) must be transferred to the directory on your hard disk where the TABS III program files reside. This is done by using the INSTALL program on the Intelfax interface program disk.

To install the Intelfax interface program on your hard disk:

  1. Insert the Intelfax interface program disk into your floppy disk drive.
  2. From a DOS prompt, make the floppy disk drive the default drive by entering the drive letter followed by a "colon". For example, if your floppy disk drive is drive A, then enter:

  3. From the floppy disk drive prompt, enter the command:

    Note: The INSTALL program has a built-in search feature that will find where your TABS III program files reside. On larger network hard drives, this search feature can take quite a bit of time. If you know where the TABS III program files reside, you can bypass this search feature by entering the path following the install command. For example, if the TABS III program files reside on drive F: in a directory named "STI", you would enter: INSTALL F:\STI

  4. Follow the on-screen instructions to install the software onto your hard disk. The Install program will locate your TABS III software on your hard disk so that the interface program can be transferred to the same directory as TABS III. After the installation process, the message "Installation Complete" will be displayed.

Executing the INTELFAX Interface Program

Use the following procedure for conversion:

  1. Transfer the data from your Intel Net SatisFAXtion system to your computer's hard disk. The data must be in ASCII format and must reside in the TABS III data file directory. This data file is obtained by using the Intel Net SatisFAXtion FAXADMIN program to export the fax activity report.
  2. From a DOS prompt, start  the interface program by entering:

    If you are using a version of TABS III prior to 3.4, this program will not work.

  3. The first time you run the INTELFAX program you will be prompted to choose client billing format A, B, C, or D. If you choose billing format "A", you will be asked to enter the TABS III transaction code number that you use for fax expense along with the rate per page. If you choose billing format "B" or "C", you will be asked to enter TABS III transaction codes and rates for local and long distance faxes. If you choose billing format "D", you will be asked to enter the TABS III transaction code and flat rate for all faxes. After entering transaction codes and rates, you will be asked to enter the name of the file that contains the Intel Net SatisFAXtion fax activity data.

    4. Next, you will be prompted to choose client identification format 1 or 2. Identification format 1 contains records with information in the following format: client number, client name, matter number, work description. Identification format 2 contains records with information in the following format: client/matter number, client name:work description. After selecting the identification format, you will be asked to enter the name of the identification file.

    Note: All the options entered above are stored in a parameter file named INTELFAX.PRM. Each time the INTELFAX program is executed, it will read the INTELFAX.PRM file and use those options automatically.

  4. Once the configuration parameter file (INTELFAX.PRM) has been created (during Step 3 above), the parameters will be displayed and you will be prompted to enter a command: CD, CI or Q. If you enter "Q" (Quit), the program will be aborted.

If you enter "CI" (for Create Identification File), and you are using TABS III version 3.4 or later, this routine will create a client identification data file. This file will contain a record for each active client/matter that exists in the TABS III Client file.

If you enter "CD" (for Convert Data), the program will look for the data file containing the Intel Net SatisFAXtion fax activity data. If this file is found to contain data, the program will display the message "Converting Transactions" followed by a count of each transaction read from the file. The files T3EXPKEY.REM, T3EXP.REM and T3EDESC1.REM will be created which can be merged with the main TABS III data files. You must then execute TABS III and run the Merge Data Capture Transactions program.

Important: Be sure not to re-export the same data from the Intel Net SatisFAXtion system to avoid duplication of the data merged with the TABS III files.

Note: If you are not using a demo version of the program, the file containing the fax activity data will automatically be deleted when the conversion is complete to avoid double posting of the data.

Note: You may change any of the assigned transaction codes or charges in the future by deleting the file INTELFAX.PRM, which is created in the TABS III program directory during Step 3 of the execution instructions. This will enable you to go through the setup procedure described in Step 3 of the execution instructions as a first time user of the program.
