Microsoft Outlook Security Message

SUMMARY
On June 7, 2000, the Microsoft Outlook E-mail Security Update was released. The intention of the security update is to protect Outlook users from potential viruses spread through e-mail. When integrating with Outlook 2003, 2002, 2000 or 98, it is possible for PracticeMaster users to receive an Outlook security message. This article lists the circumstances under which PracticeMaster users will receive the Outlook security message prompt and provides a link to a Microsoft site providing information on customizing the security features.
The Outlook Security Message
The following is the message that could be received in PracticeMaster or System Configuration when integrating with Outlook 2003, 2002, 2000 or 98:
- 'A program is trying to access e-mail addresses you have stored in Outlook. Do you want to allow this? If this is unexpected, it may be a virus and you should choose "No". Allow access for x minutes.'
When Users will encounter the message in Version 12.2 or later
A change was made in Version 12.2 that eliminates the Outlook Security Message from appearing every time System Configuration or PracticeMaster access the Outlook address book by using Extended MAPI functions instead of Simple MAPI functions. Therefore, most users will never see the Outlook Security message when integrating with Version 12.2 or later. The message is only displayed when using Version 12.2 or later under the following conditions when integrating with Outlook 2003, 2002, 2000 or 98:
- When starting PracticeMaster, and Outlook is configured as the default e-mail software and the PracticeMaster Version 12.2 or later E-mail program is configured to integrate with Outlook Express, Simple MAPI instead of Outlook, GroupWise, Extended MAPI. This situation is a configuration issue and is easily fixed. To prevent the message from being displayed, simply configure the PracticeMaster E-mail program to integrate with Outlook, GroupWise, Extended MAPI on the General tab of E-mail Preferences (Maintenance | E-mail Preferences).
- When starting the User Configuration program in System Configuration and using Microsoft Exchange Server and Microsoft Outlook is not configured as your default e-mail software. This situation is a configuration issue and is easily fixed. To prevent this message from being displayed, change your default e-mail software to Microsoft Outlook. In Internet Explorer, from the Tools menu, select Internet Options. On the Programs tab, make sure Microsoft Outlook is selected in the E-mail field and click OK.
Note: If you used Outlook integration prior to Version 12.2 and your system was modified to automatically bypass the Outlook Security Message, you may want to consider reversing the modifications once Version 12.2 or later is installed.
When users will encounter the message in Version 12.1 or earlier
The message will be displayed in PracticeMaster and System Configuration under the following conditions when integrating with Outlook 2003, 2002, 2000 or 98:
- When starting the Read E-mail program in PracticeMaster Version 11 or 10 regardless of whether the Microsoft Exchange Server is being used.
- When starting the User Configuration program in System Configuration when using Microsoft Exchange Server.
- When adding, changing, or deleting calendar entries when using Microsoft Exchange Server.
- When adding, changing or deleting related party records regardless of whether the Microsoft Exchange Server is being used.
- When running the Outlook Synchronization program in PracticeMaster regardless of whether the Microsoft Exchange Server is being used.
- When starting PracticeMaster, and Outlook is configured as the default e-mail software and the PracticeMaster Version 12.1 E-mail program is configured to integrate with Outlook Express, Simple MAPI instead of Outlook, GroupWise, Extended MAPI. To prevent the message from being displayed, simply configure the PracticeMaster E-mail program to integrate with Outlook, GroupWise, Extended MAPI on the General tab of E-mail Preferences (Maintenance | E-mail Preferences).
Bypassing the Security message
The following methods can be used to bypass the Outlook Security Message:
- Update to Version 12.2 or later.
- Enable custom security settings and thereby bypass the security message when integrating PracticeMaster and Outlook. In order to enable custom security settings, you must be using Outlook 2002 or 2003 with Microsoft Exchange Server. The Office XP Resource Kit, which is available through Microsoft, offers instructions regarding how to customize the security features. Information about obtaining the resource kit can be found by referring to article 290710 in Microsoft's Knowledge Base on the Internet at http://support.microsoft.com.
Note: We will not assist in customizing the Outlook e-mail security features. Any questions about the customization must be directed to Microsoft.
