The Summa Prophet C-14 program is a DOS program. It is used to convert telephone expense transactions from a Summa Prophet C-14 Call Accounting System to be compatible with the Tabs3 Merge Data Capture Transactions program.

The Summa Prophet C-14 program must reside in the same directory as the Tabs3 programs in order to work properly.

The Summa Prophet C-14 Call Accounting program does not allow the entry of decimal points to separate the Client portion from the Matter portion of the Tabs3 Client/Matter number. The interface program assumes that the Tabs3 Client/Matter number entered on the phone keypad will be entered as a single number with the Client and Matter portions separated by a zero. For example, if the client/matter number in Tabs3 is 200.03, the number should be entered as 200003 on the phone keypad. In addition, all leading and trailing zeroes in the Tabs3 client/matter number must be entered. Therefore, if you have client numbers ranging from 100.00 to 9999.99, the Summa Prophet C-14 interface program requires that the same number of characters are entered for all clients. In this instance, if entering client/matter number 200.03 it would be entered as 0200003.

The Summa Prophet C-14 Call Accounting interface program (SUMMAC14.EXE) must be transferred to the directory on your hard disk where the Tabs3 program files reside. This is done by using the INSTALL program on the Summa Prophet C-14 Call Accounting Conversion Program disk.

To install the Summa Prophet C-14 Call Accounting interface program on your hard disk:

1. Insert the Summa Prophet C-14 Call Accounting Conversion Program disk into your floppy disk drive.
2. From a DOS prompt, make the floppy disk drive the default drive by entering the drive letter followed by a "colon". For example, if your floppy disk drive is drive A, then enter:

        A:

3. From the floppy disk drive prompt, enter the command:

        INSTALL

Note: The INSTALL program has a built-in search feature that will find where your Tabs3 program files reside. On larger network hard drives, this search feature can take quite a bit of time. If you know where the Tabs3 program files reside, you can bypass this search feature by entering the path following the install command. For example, if the Tabs3 program files reside on drive F: in a directory named "STI", you would enter: INSTALL F:\STI

4. Follow the on-screen instructions to install the software onto your hard disk. The Install program will locate the Tabs3 software on your hard disk so that the interface program can be transferred to the same directory as Tabs3. After the installation process, the message "Installation Complete" will be displayed.

Use the following procedure for conversion:

1. Create a data file from your Summa Prophet C-14 Call Accounting system by using the Summa Prophet-Writer. Create a Client Billback report using the Account Code Detail Report format. The data file must be in the Account Code Detail Report format in order to work with the interface program. Select the phone calls you want to convert. Enter the file name, using the 8.3 format, for the data file. Transfer the data file from the Summa Prophet C-14 Call Accounting directory to the directory where your Tabs3 data resides.
2. From a DOS prompt, start the interface program by entering:

        SUMMAC14

3. The first time you run the Summa Prophet C-14 program, you will be asked to enter the Tabs3 transaction code number that you use for phone calls.
4. You will be asked "Do you want to keep the transaction description after import (Y/N)". If you answer "Y", this will allow descriptions for successful transactions to be merged and printed on the Tabs3 Cost Verification List. If you answer "N", the descriptions for successful imports will be discarded and the default description in the transaction code file is used.
5. You will be asked to specify the file name of the Summa Prophet C-14 phone data file. The data file must reside in the Tabs3 directory. The file name entered here should be the same one as specified for the data file in step 1 of these instructions.
6. You will also be asked to specify the maximum length of the Tabs3 client portion of the client/matter number (i.e., the number of characters preceding the decimal). For example, if the largest client/matter is 9999.99 in Tabs3, the maximum length is 4.

Note: Once you specify the transaction code number, the filename, whether or not you wish to keep descriptions, and the maximum length of the client portion of the client/matter number, the Summa Prophet C-14 interface program will use those same values each time you run the program.

7. Next, you will be asked "Is it OK to continue (Y/N)?". If you enter "N" the program will be aborted. If you enter "Y" the program will look for the data file containing the Summa Prophet C-14 Call Accounting data. If the data file is found to contain data, the program will display the message "Converting transactions" followed by a counter as each transaction is read from the file. The files T3EXPKEY.REM, T3EXP.REM and T3EDESC1.REM will be created which can be merged with the main Tabs3 data files. You must then start Tabs3 and run the Merge Data Capture Transactions program. Descriptions for unsuccessful merges are kept, and will be displayed in the Tabs3 error report. The file name of the report is Summac14.err and can be found in the Tabs3 program directory.
