Timeslips to Tabs3 Conversion
Software Technology has developed a program named TSCONV to
convert data from Timeslips Versions 6, 7, 8, 9, 10 and 11 into Tabs3 Version
11. The TSCONV program converts client name and address information, aged accounts receivable
balances, and unbilled transactions. Please read through these instructions
carefully before attempting to use the TSCONV program.
Note: Data conversions from Timeslips to Tabs3 can be
handled in one of two ways. One way is to use our TSCONV program to
convert the data. The other way is to have Software Technology, Inc. perform a custom conversion for
you. There are pros and cons to either conversion method.
TSCONV: There are several advantages to using the
TSCONV program. It can be used right away. It can be used to convert several
sets of Timeslips data into Tabs3. However, there are several disadvantages
as well. Timeslips is not very flexible when it comes to exporting data that can
be easily converted. This means the TSCONV program was written to convert data
that is formatted very specifically. There are no options to customize the
TSCONV program to meet the specific needs for your firm.
Custom Conversion: Software Technology has a conversion
department that specializes in performing conversions between other billing
systems and Tabs3. The main advantage is the ability to customize the
conversion to meet the conditions of your data exactly. Disadvantages include
scheduling (it may take several weeks before the conversion could be
done) as well as cost (costs typically fall in the $1,500 - $2,500 range,
depending on how much data there is to convert).
Data Corruption
The TSCONV program should only be used if you have been
experiencing error free conditions in Timeslips. If you currently have problems
with your Timeslips system due to missing or corrupt data, the TSCONV program
may behave unpredictably or convert corrupt data into Tabs3. If corruption
has occurred, it should be repaired in Timeslips before proceeding with
the conversion. If there is data corruption in Tabs3 following the
conversion, there will be a charge for Software Technology to evaluate what is
wrong with the data and attempt a repair.
What Version of Timeslips am I Using?
Many of the steps involved in converting your Timeslips data
into Tabs3 are dependent on which version of Timeslips you currently use. If
you are unsure of which Timeslips version is being used, there is an easy way to
find out. Start Timeslips and click the Help menu option. The last menu
item displayed in the Help box will be either About TSReport..., About
Timeslips v9 Level N..., or About Timeslips v10 Level N… (where N
is Timeslips level 1, 2, or 3).
About TSReport...: If the last menu item displayed in the Help
box is About TSReport..., you are using Timeslips version 6, 7, or 8.
To find out which specific version you are using, select About TSReport...
and look in the list box. The second line has the version number. It should
display something similar to "N6.00", "N7.0" or
"N8.0". The first digit displayed (i.e., the 6, 7, or 8) is your
Timeslips version number. After verifying the version number, click Done.
About Timeslips v9 Level N...: If the last menu item
displayed in the Help box is About Timeslips v9 Level N..., you
are using Timeslips Version 9.
About Timeslips v10 Level N...: If the last menu item
displayed in the Help box is About Timeslips v10 Level N..., you
are using Timeslips Version 10.
About Timeslips v11.x...: If the last menu item displayed
is the Help box is About Timeslips v11.x..., you are using
Timeslips Version 11.
Install the Software
You need to install System Configuration, Tabs3 Version
11, and TSCONV into a new directory on a local or network drive. Use the
following steps to do this:
Note: During the Tabs3 installation in Step 2 below,
there is an option to Install Starter Data. You will want to make sure
to not install the Starter Data.
Install the System Configuration and Tabs3 software. Refer to the
Version 11 Installation Instructions for more information about installing the
Tabs3 software products.
After installation, start Tabs3. You will be taken directly into the Tabs3
Customization program. You must change the Key
Type to Alpha. The TSCONV program requires that the Key Type be Alpha.
You must select the First Month of Reporting Year. Usually, the
fiscal year starts in January, but it can sometimes start in a different
month (i.e., April or July). The one other option that must be
selected before converting any data is the Receipt Allocation by Invoice
option on the Status Defaults tab. Refer to Tabs3 Online Help for
information about this option. To use Tabs3 Online Help, click the
question mark button at the top of the window, and select the Receipt
Allocation by Invoice option (at the top of the list on the bottom of
the window). All other Tabs3 Customization options can be set up later at
your discretion. Close the Customization window (click Yes when the
prompt "Data Has Changed. Do you want to save?" is displayed) and exit
Tabs3.
- Finally, install the TSCONV program. Do the following steps:
- Before installing the TSCONV program, you need to know where your
Timeslips software is installed. To verify where Timeslips is installed,
start Timeslips and do the following:
Timeslips versions 6, 7, and 8: From the menu options at
the top of the screen, select Help, then About TSReport....
Scroll down the list box until you see an entry for the "Program
Directory". Note the path. Click Done.
Timeslips version 9, 10 and 11: From the menu options at the top of
the screen, select Help, then About Timeslips v9 Level N..., About
Timeslips v10 Level N..., or About Timeslips v11.x.... The
"Installation Folder" should be the second item in the list box at
the bottom of the window. Note the path. Click Done.
- Download the TSCONVInst11.exe program from
www.Tabs3.com/Support/Utilities, when asked, click Open.
- Follow the installation instructions. You will be asked for your Timeslips path,
enter the path previously noted in Step a in the Path box.
- Select the version of Timeslips that you are using in the Version
box.
- Click Next>>.
- Enter the path in which Tabs3 was installed if it is different than the
default path shown.
- Click Next>>.
- The Setup program will begin the installation process.
Note: The Setup program will install the TSCONV.EXE
program into the Tabs3 program directory. It will also install various
report templates into your Timeslips directory. If you are using Timeslips
version 6, 7, or 8, it will install a file named TSSPECS.DAT (which
contains the report templates) into your Timeslips directory. If you are
using Timeslips version 9, it will install the CLIENTA.RPT and the WIP.RPT
report template files into your Timeslips directory. If you are using
Timeslips version 10 or 11, it will install the CLIENTA.RPT, CLIENTB.RPT, and
the WIP.RPT report template files into your Timeslips directory.
Note: The Timeslips report templates were created
by Software Technology, Inc. for the express purpose of converting your data from Timeslips to
Tabs3. We have provided you with the templates to make it easier for you to export the data and to reduce the
chance of incorrect data fields being selected if you were to create the
templates yourself.
What is Converted into Tabs3
The TSCONV program converts Timeslips data into the following Tabs3
data files:
Timekeepers: This file contains a generated Tabs3 timekeeper number and the Timeslips user nickname only. The file will
contain only those Timeslips users that are used in the custom fields (see more
information about "Timeslips Custom Fields" in a following section) or
from any unbilled slips. After the conversion is complete, you will have to go
into each timekeeper record in Tabs3 and add timekeeper initials, names,
rates, and levels.
Categories: Since Timeslips doesn’t have a field that can
be converted into the Tabs3 category field, a generic category number 1 with
a description of "Only Tabs3 Category" will be converted for all
clients.
Transaction Codes: This file contains a generated Tabs3 transaction code number and the Timeslips activity nickname only. The
file will contain Timeslips activity codes that are used on any
unbilled slips. After the conversion is complete, each
transaction code will need to be edited by adding codes, rates, and descriptions.
Clients: This file contains the client/matter information from Timeslips including nicknames, client names, address lines, city/state/zip,
contact name, "In Reference To" text, and phone numbers.
Note: Tabs3 Client ID’s are converted from Timeslips
nicknames. Since Timeslips nicknames allow spaces and punctuation characters
and Tabs3 does not, those characters are stripped from the nickname as they
are converted into Tabs3. Also, Timeslips nicknames can be up to 15
characters long while Tabs3 Client ID’s are allowed a maximum of 12
characters. Any Timeslips nicknames longer than 12 characters (after stripping
spaces and punctuation) will be truncated.
Duplicate Client ID’s Note: Sometimes, as Timeslips
nicknames are stripped of spaces and punctuation and are truncated, multiple
clients are left with the same Tabs3 client ID’s. Since all Tabs3 client ID’s must be unique, an algorithm has been devised to eliminate
duplicates that occur. When a duplicate is generated, the left-most 8
characters of the client ID are combined with a counter which starts at 1.
This new client ID (composed of the 8 characters plus the counter) is
converted as the Tabs3 client ID. Multiple duplicates from Timeslips would
result in the counter being incremented by 1 for each duplicate found.
Timekeeper Conversion: Tabs3 Primary,
Secondary, and Origination Timekeepers are converted from Timeslips in the
following manner: If the custom "user" field is converted, the
information in that field will determine the timekeeper fields in the Tabs3 Client file. If this field is not converted, is empty, or contains
invalid information, the timekeeper fields will be contain timekeeper
#1.
Client Notes: The Timeslips "In Reference To"
field is always converted into the Tabs3 work description and is sometimes
converted into the client notes. The work description has a 50 character limit
while the client notes has a 10,500 character limit. Sometimes the "In Reference
To" field exceeds 50 characters. If this occurs, the left-most 50 characters are
converted into the work description (truncated after the last word that doesn’t
exceed the 50 character limit) and the entire "In Reference To" field is converted
into the client notes. If the "In Reference To" field does not exceed 50
characters, it is only converted into the work description.
Accounts Receivable: The Timeslips aged accounts receivable
balances are converted into the Tabs3 client ledger file. A separate client
ledger record is created for each aged balance, with the date on each record
aged according to the date specified when you run the TSCONV program. Since
Timeslips doesn’t provide aged balances that are split into fees and costs,
each balance converted into Tabs3 is converted as fees only. Furthermore, all
fees will be allocated to the timekeeper that is converted as the primary
timekeeper for the client.
Example: If a client owes $200, $150 of which was billed
30 days ago and the other was billed 60 days ago, two client ledger records
will be created for this client.
Work-In-Process: This file contains the unbilled slips from
Timeslips including timekeepers, dates, transaction codes, hours, rates,
amounts, statuses, and descriptions.
Timeslips Terminology
Timeslips allows you to customize some field labels that are
displayed on data entry screens and that print on reports. Some of those fields
are specifically referenced in these instructions. The instructions refer to the
default field labels, so if some of those labels have been changed, you need to
be aware of them.
Timeslips versions 6, 7, and 8: To see the current labels,
select Settings from the menu options at the top of the screen, and then
select Terminology.... Following is a list of the labels that can be
customized, the default labels, and some common alternatives:

Timeslips Custom Fields
Timeslips has the capability of defining what are known as
custom fields. These are fields that can hold any extra data that a firm cares
to track per client. The TSCONV program was designed to convert data from two of
these custom fields, provided they are available. To see if they are available
in Timeslips versions 6, 7, and 8, select Settings from the menu options
at the top of the screen, and then select Custom Fields.... To see if
they are available in Timeslips versions 10 and 11, select Setup from the menu
options at the top of the screen, and then select Custom Fields…. The
fields will be on the Client tab.
Note: We were not able to successfully convert any custom fields from
Timeslips version 9.
The two desired custom fields are a "User" field
(which may have been renamed to Attorney, Controller, Timekeeper, Worker, etc.,
as described in the "Timeslips Terminology" section above) and an
"Open Date" field (sometimes known as an inception date). Look for the
text "User:1" (which may also be Timekeeper, Attorney, etc.) in the Type column for the user field and the
text "Date" in the Type column for the open date field. If both
fields are available, they can be converted. The specific instructions for each
version of Timeslips will explain how to actually select these fields for
exporting.
Note: If one of the two fields are available and you want
to export the data for it, you can "trick" Timeslips into having
both fields available. Simply add a new field to the custom fields list for
the desired data type. That field will then be available when you export
client data, even though you haven’t actually entered any "real"
data on each client.
Timeslips Versions 10 and 11 Note: If you plan to convert
custom fields from Timeslips Versions 10 or 11, you need to make note of the actual
field names that are used. One of the steps in exporting the data requires
that you enter the custom field names in the appropriate fields on the report
template.
Hidden Clients
Timeslips versions 7 and 8 have a feature that allows you to
"hide" clients if they are considered inactive and you don’t plan to
do any more work for them. If you have any Hidden clients, they won’t be
converted by the TSCONV program. If you want to convert Hidden clients, they
will have to be changed from Hidden to Shown via the following steps:
- From the menu options at the top of the screen, select Names, then Client
Info....
- Click Hidden.
- The Hide/Show Client dialog box will be displayed with two list
boxes. The list box on the right has a list of all the clients that are
Hidden; the list box on the left has a list of all the clients that are not
hidden (or Shown).
- If any clients are listed in the Hidden list box, highlight each client
that you want to change from Hidden to Shown and click Mark. If you
want to change all Hidden clients to Shown, click All.
- Click <<Show.
- Click Done.
General Procedures
Many of the steps involved in converting data from Timeslips to Tabs3
involve running certain programs in Timeslips and following the
predetermined steps. When running Timeslips, you will need to log in as a user
that has full access to all functions of Timeslips.
- Generate the following two files from within your Timeslips
system. The first file contains client demographic information as well as aged
accounts receivable balances. The second file contains unbilled transactions.
Please refer to the instructions for each version of Timeslips found later in
this document for specific steps about creating these two files.
Note: Refer to the steps for Version 6,
Versions 7 & 8, Version
9, Version 10, or Version
11 in this document for
specific instructions about creating the client export file (which contains
client demographics and accounts receivable balances) and WIP export file (which
contains unbilled transactions). Both these files must be created before
proceeding with the next step.
- The next step is to run the TSCONV program (select Timeslips to Tabs3 Conversion in the Software Technology group). You will be presented
with the Timeslips to Tabs3 Conversion dialog box. You have the
following three options to select. After selecting the options, click
OK.
Client ID: You have the option of converting Timeslips
Client Nickname 1 or Nickname 2 for the Tabs3 Client ID. If either of the
nicknames is numeric, you may want to select the appropriate nickname for the
Client ID.
Name Search: You have the option of converting
Timeslips Client Nickname 1 or Nickname 2 for the Tabs3 Name Search. If
either of the nicknames is alphabetical, you may want to select the appropriate
nickname for the Name Search.
A/R Date: This date will be used for calculating the
appropriate date to use on each Tabs3 client ledger record. You must select
the same date that the export files were created from Timeslips in order for
the conversion to create accurate client ledger records.
Note: If you have converted the Timeslips data before or are
converting another set of Timeslips data into Tabs3, you will be presented
with the message "Warning: Tabs3 data already exists. Do you want to
delete existing data?". Click Yes if you are converting the same
data a second time; otherwise, click No if you are converting another set
of Timeslips data into Tabs3. Click Cancel if you are mistakenly
running the TSCONV program a second time.
Note: If you click No in response to the
"Warning: Tabs3 client data already exists. Do you want to delete
existing client data?" message, the following message will be displayed:
"Duplicate Client ID’s may be generated. Generate new Client ID’s for
duplicate ID’s that are found?". Click Yes if the new set of
Timeslips data contains different clients than the original set. Click No
if the new set of Timeslips data contains the same clients (but different
transactions) than the original set. Click Cancel if you mistakenly
clicked No in response to the prior message.
Important: If you clicked No in response to the
"Duplicate Client ID’s may be generated. Generate new Client ID’s for
duplicate ID’s that are found?" message, all aged accounts receivable
balances from the new set of Timeslips data will not be converted.
- After the TSCONV program has finished executing, check the TSCONV.LOG file
for messages and errors that were generated by the TSCONV program. The
TSCONV.LOG file is created in the Tabs3 directory. You can look at the
TSCONV.LOG file by opening it in Microsoft Notepad or Wordpad or your
preferred word processor. You may wish to print the TSCONV.LOG file to
preserve a list of the messages it produced.
Note: If errors were generated as a result of double
quotation marks, these errors can be corrected in several ways. The error
message will indicate whether the error occurred in the Client or WIP file.
You can either correct the errors in Timeslips or correct them in Tabs3. If
you choose to correct them in Timeslips, you will have to go back to step 1
and reexport the data from Timeslips and rerun the TSCONV program. If you
correct the errors in Tabs3, you will have to reenter any missing data
caused by the errors.
Note: If you are converting from Timeslips version 9, 10,
or 11, some
errors in the TSCONV.LOG file may reflect instances where carriage returns
have been entered in the In Reference To field. Carriage returns (in addition
to extra double quotation marks) will cause the TSCONV program to convert data
incorrectly. If it looks like some of the messages in the TSCONV.LOG refer to
client ID’s that are really other fields (such as more In Reference To text
or an accounts receivable balance), you will have to do the following to
correct the error:
- Open the CLIENTA.TXT file in Microsoft Notepad or Wordpad. If you use
Wordpad, be sure to select a Files of type of "Text Documents -
MS-DOS Format (*.txt)". Opening the CLIENTA.TXT file in your preferred
word processor probably wouldn’t work because the word processor would
"word wrap" the long text lines, making it hard to look for the
desired data.
- Scroll down through the file looking for the erroneous client ID’s that
are listed in the TSCONV.LOG file. Remember, since Tabs3 client ID’s
are converted from Timeslips nicknames, you are really looking for Timeslips
nicknames. The first field on each line should contain the Timeslips
nickname for each client.
- If there are any "In Reference To" fields with carriage returns, the rest of
the "In Reference To" text (following the carriage return) will continue on
the following line. Since the TSCONV program assumes that the text at the
beginning of each line is a new Timeslips nickname, it will assume that the
text following the carriage return is the next Timeslips client. Keep in
mind that there may be multiple carriage returns in a single "In Reference To"
field.
- The Timeslips data can be corrected in one of two ways. Make note of
all the Timeslips nicknames that have carriage returns in the "In Reference
To" text. You can then go into Timeslips and edit the "In Reference To" fields
for each client, making sure to delete all carriage returns. You would then
have to repeat Steps 1 (export the data) and 2 (run the TSCONV program).
- The other way to correct the Timeslips data is to edit the CLIENTA.TXT
file directly. When you find a nickname that is really a continuation of a
previous record, position the cursor at the end of the previous record and
press the Delete key. This will remove the carriage return. After
removing all the carriage returns, be sure to save the changes in Microsoft
Notepad or Wordpad. You would then have to repeat Step 2 (run the TSCONV
program).
- Start Tabs3. There are some utility programs that need to be executed
before doing anything else.
- First, you will need to create the Client Ledger Detail files. Click
OK to the message prompting you that the Client Ledger Detail files
are not present. Then click Yes to disable the Rebuild warning.
Then click the Utilities menu option at the top of the Tabs3 window,
and then select Rebuild Client Ledger Detail. Click No when
prompted "Would you like to back up your data first?". Select the
"Both" option in the Files to Rebuild box. Then, click OK.
You will receive a warning message, click Yes.
- Click the Utilities menu option, and then select Rebuild Receipt
Allocation. Click No when prompted "Would you like to back
up your data first?". Click OK.
- Click the Utilities menu option, and then select Data File
Integrity Check. Click OK. This program will check if there were
any errors from the conversion. Please refer to the Tabs3 online help for
instructions about any errors and how to correct them.
- After running the utility programs, we recommend you perform data
verification between Timeslips and Tabs3. Run a Client List to
compare client information, a Detail A/R Report to compare accounts
receivable balances, and a Transaction File List to compare unbilled
transaction totals.
- After verifying information between Tabs3 and Timeslips, don’t forget
to edit individual Timekeepers (add initials, names, rates, and levels),
Categories (add categories for the kinds of law you practice), and
Transaction Codes (add codes, rates, and descriptions) in Tabs3.
Timeslips Version 6 Instructions
Client Export File
- From the menu options at the top of the Timeslips window, select File,
then Export, then 1 Client....
- Click Select....
- Click Names....
- Click All.
- Click OK.
- The text next to Names... should now be set to "All are
selected".
- Click Custom Fields....
- Click the first custom field in the Custom Fields list box.
- Do one of the following:
- If the custom field is a date field, click the Calendar button
next to the Starting date box. Select "All" from the Apply
this rule drop-down box. Click OK (in the Date Range
box). Both the Starting date and Ending date boxes should
now be blank.
- If 4 buttons (Mark, Unmark, All, None)
appear at the bottom of the window, click All.
- Repeat steps 1 and 2 for all custom fields in the Custom Fields
list box.
- Click OK.
- The text next to the Custom Fields... button should now be set to
"All are selected".
- Click OK.
- Click Sort....
- Select "Client" from the Sort By drop-down box.
- Make sure the Then Sort By drop-down box is blank.
- Select "None" from the Page break drop-down box.
- Make sure the Total all Projects check box is not checked.
- Click OK.
- Client Template....
- Select "Detail" from the Style drop-down box.
- Click Retrieve.
- You should be presented with 2 choices. Select either the
"CLIENTA" template or the "CLIENTB" template,
depending on how you have your Timeslips custom fields set up. Refer to
the previous section titled "Timeslips Custom Fields" for more
information about the custom fields. If you don’t plan to convert any
custom fields, select "CLIENTA". Otherwise, if you plan to
convert a user custom field and a date custom field, select
"CLIENTB".
- Click OK (in the Retrieve a Template Window).
- If you selected the "CLIENTB" template, do the following:
- Scroll down to the end of the fields in the "Field/Format"
list box.
- Check to see if the first "Custom Fields" line (the 2nd line
from the bottom) contains a user field in the "Format" column.
If it does not, select the desired user field from the Format drop-down
box and click Accept.
- Check to see if the second "Custom Fields" line (the last
line) contains a date field in the "Format" column. If it does
not, select the desired date field from the Format drop-down box
and click Accept.
- Click OK.
- Click Export.
- Enter either "CLIENTA.TXT" (if you are using the CLIENTA
template) or "CLIENTB.TXT" (if you are using the CLIENTB template)
in the File Name box.
- Make sure to select the drive (in the Drives list box) and file
path (in the Directories list box) to which you installed Tabs3.
If you do not, you will have to manually copy the CLIENTA.TXT or CLIENTB.TXT
files into the Tabs3 directory after it has been created.
- Click OK.
- After the report is done exporting, close the Export window.
- Now, proceed to create the WIP Export File.
WIP Export File
- From the menu options at the top of the Timeslips window, select File,
then Export, then Slips....
- Click Select....
- Make sure the Starting date and Ending date boxes are blank.
- Make sure the Slip number and Through slip boxes are blank.
- Make sure the Invoice # and Through boxes are blank.
- Click User....
- Click All.
- Click OK.
- The text next to the User... button should now be set to
"All are selected".
- Click Client....
- Click All.
- Click OK.
- The text next to Client... should now be set to "All are
selected".
- Click Activity....
- Click All.
- Click OK.
- The text next to Activity... should now be set to "All are
selected".
- Click Custom Fields....
- Click the first custom field in the Custom Fields list box.
- Do one of the following:
- If the custom field is a date field, click the Calendar button
next to the Starting date box. Select "All" from the Apply
this rule drop-down box. Click OK (in the Date Range
box). Both the Starting date and Ending date boxes should
now be blank.
- If 4 buttons (Mark, Unmark, All, None)
appear at the bottom of the window, click All.
- Repeat steps 1 and 2 for all custom fields in the Custom Fields
list box.
- Click OK.
- The text next to Custom Fields... should now be set to "All
are selected".
- Make sure the Reference box is blank.
- Make sure the Rate source box is set to "All".
- Make sure the at level box is set to "All".
- In the Slip Status group (each check box can have 3 possible values
- they can be checked, unchecked, or shaded):
- Make sure the Billed check box is unchecked.
- Make sure the Repeat check box is shaded.
- Make sure the Add to FF check box is shaded.
- Make sure the Exported check box is shaded.
- Make sure the Closed check box is unchecked.
- In the Billing Status group (each check box can have 2 possible
values - they can be either checked or unchecked):
- Make sure the Billable check box is checked.
- Make sure the Do Not Bill check box is checked.
- Make sure the No Charge check box is checked.
- Make sure the Summary check box is checked.
- Make sure the Hold check box is checked.
- Click Hours and Dollars....
- Make sure the Hours from and Hours through boxes are set
to "0:00:00".
- Make sure the Dollars from and Dollars through boxes are
set to "0.00".
- Make sure the at the drop-down box is set to "Disregard
rate".
- Click OK.
- The text next to Hours and Dollars... should now be set to
"Without regard to hours or dollars".
- Click Variance....
- Make sure the Time spent drop-down box is set to
"disregard".
- Make sure the Time estimated by drop-down box is set to

- Make sure to select the drive (in the Drives list box) and file
path (in the Directories list box) to which you installed Tabs3.
If you do not, you will have to manually copy the WIP.TXT file into the Tabs3
directory after it has been created.
- Make sure the Insert field names at the start of the file box is not
checked.
- Click OK.
- After the report is done exporting, close the Export window.
- Now, go back to the General Procedures
section and resume with step 2.
Timeslips Version 7 & 8 Instructions
Client Export File
- From the menu options at the top of the Timeslips window, select File,
then Export, then 1 Client....
- Click Select....
- Click Names....
- Click All.
- Click OK.
- The text next to Names... should now be set to "All are
selected".
- Click Custom Fields....
- Click the first custom field in the Custom Fields list box.
- Do one of the following:
- If the custom field is a date field, click the Calendar button
next to the Starting date box. Select "All" from the Apply
this rule drop-down box. Click OK (in the Date Range
box). Both the Starting date and Ending date boxes should
now be blank.
- If 4 buttons (Mark, Unmark, All, None)
appear at the bottom of the window, click All.
- Repeat steps 1 and 2 for all custom fields in the Custom Fields
list box.
- Click OK.
- The text next to Custom Fields... should now be set to "All
are selected".
- Click OK.
- Click Sort....
- Select "Client" from the Sort By drop-down box.
- Make sure the first Then Sort By drop-down box is blank.
- Make sure the second Then Sort By drop-down box is blank.
- Select "None" from the Page break drop-down box.
- Make sure the Total all Projects check box is not checked.
- Click OK.
- Click the Template... button
- Select "Detail" from the Style drop-down box
- Click Retrieve.
- You should be presented with 2 choices. Select either the
"CLIENTA" template or the "CLIENTB" template,
depending on how you have your Timeslips custom fields set up. Refer to
the previous section titled "Timeslips Custom Fields" for more
information about the custom fields. If you don’t plan to convert any
custom fields, select "CLIENTA". Otherwise, if you plan to
convert a user custom field and a date custom field, select
"CLIENTB".
- Click OK (in the Retrieve a Template Window).
- If you selected the "CLIENTB" template, do the following:
- Scroll down to the end of the fields in the "Field/Format"
list box.
- Check to see if the first "Custom Fields" line (the 2nd line
from the bottom) contains a user field in the "Format" column.
If it does not, select the desired user field from the Format drop-down
box and click Accept.
- Check to see if the second "Custom Fields" line (the last
line) contains a date field in the "Format" column. If it does
not, select the desired date field from the Format drop-down box
and click Accept.
- Click OK.
- Click Export.
- Enter either "CLIENTA.TXT" (if you are using the CLIENTA
template) or "CLIENTB.TXT" (if you are using the CLIENTB template)
in the File Name box.
- Make sure to select the drive (in the Drives list box) and file
path (in the Directories list box) to which you installed Tabs3.
If you do not, you will have to manually copy the CLIENTA.TXT or CLIENTB.TXT
files into the Tabs3 directory after it has been created.
- Click OK.
- After the report is done exporting, close the Export window.
- Now, proceed to create the WIP Export File.
WIP Export File
- From the menu options at the top of the Timeslips window, select File,
then Export, then Slips...
- Click Select....
- Make sure the Starting date and Ending date boxes are blank.
- Make sure the Slip number and Through slip boxes are blank.
- Make sure the Invoice # and Through boxes are blank.
- Click User....
- Click All.
- Click OK.
- The text next to User... should now be set to "All are
selected".
- Click Client....
- Click All.
- Click OK.
- The text next to Client... should now be set to "All are
selected".
- Click Activity....
- Click All.
- Click OK.
- The text next to Activity... should now be set to "All are
selected".
- Click Custom Fields....
- Click on the first custom field in the Custom Fields list box.
- Do one of the following:
- If the custom field is a date field, click the Calendar button

values - they can be either checked or unchecked):
- Make sure the Billable check box is checked.
- Make sure the Do Not Bill check box is checked.
- Make sure the No Charge check box is checked.
- Make sure the Summary check box is checked.
- Make sure the Hold check box is checked.
- Click Hours and Dollars....
- Make sure the Hours from and Hours through boxes are set
to "0:00:00".
- Make sure the Dollars from and Dollars through boxes are
set to "0.00".
- Make sure the at the drop-down box is set to "Disregard
rate".
- Click OK.
- The text next to Hours and Dollars... should now be set to
"Without regard to hours or dollars".

- Select "text" in the The field contains drop-down box.
- Click OK.
- Click the Sorting tab.
- In the Selected sort keys group, click on each item in the list and
then click on << Remove until there are no items in the Selected
sort keys group.
- Make sure to select "Client" in the drop-down list under the Available
sort keys group.
- Select "Nickname 1" in the list box in the Available sort

- Click Add >>.

- If you selected the "CLIENTB.RPT" file, do the following steps. Otherwise, skip to step c.
- You need to run the Timeslips Report Designer. This program is found in the same program group as the Timeslips program. The name associated with the icon should be Report Designer.
- From the menu options at the top of the Report Designer window, select File, and then Open.
- Select the "CLIENTB.RPT" file (in the path in which the "CLIENTB.RPT" file was installed when the TSCONV program was installed).
- Click Open. You should see three rows on the screen. The first and third rows, which contain one field each, are not referenced in these instructions. The remaining steps pertain to the second row.
- Click the text "Nickname 1" (in column 1) in the second row.
- Press the right arrow key until you reach the text "Custom Field" (in column 22). There are two fields with the text "Custom Field" side by side (in columns 22 and 23). Make sure the left-most "Custom Field" (in column 22) is selected.
- Double-click the text "Custom Field". The Format for Custom Field box will be displayed.
- Change the text in the Label box to be the name of the user field as noted from the "Timeslips Custom Fields" section above.
- Select the Text/List tab.
- Make sure the Auto option is selected.
- Click OK.
- Press the right arrow key once. The other "Custom Field" (in column 23) should be selected.
- Double-click the text "Custom Field". Again, the Format for Custom Field box will be displayed.
- Change the text in the Label box to be the name of the date field as noted from the "Timeslips Custom Fields" section above.
- Select the Date tab.
- Make sure the Short USA format (MM/DD/YY) option is selected.
- Click OK.
- From the menu options at the top of the Report Designer window, select File, and then Save.
- Select File, and then Exit. The Timeslips Report Designer program will be closed.
- Go back to the Timeslips program. The Set Up Report window should still be open on the Formats tab with the "Report template file path" line highlighted.
- Make sure the Settings column for the "Page break on primary sort" row is set to "No".
- Make sure the Settings column for the "Show Selection Criteria" row is set to "No".
- Click on the drop-down button next to the Print to field at the bottom of the window.

- Click the Sorting tab.

- In the Selected filters group, click the Look for tab again.
- Make sure to select "Slip" in the Filter groups drop-down list in the Available filters group.
- Select "Billed" in the Filters list box in the Available filters group.
- Click >.
- The Filter for Billed dialog box will be displayed.
- Select the No option.
- Click OK.
- Click the Sorting tab.
- In the Selected sort keys group, select each item in the list and then click < until there are no items in the Selected sort keys group.
- Make sure to select "Client" in the Sort groups drop-down list in the Available sort keys group.
- Select "Nickname 1" in the Sorts list box in the Available sort keys group.
- Click >.
- Make sure the Order column in the Selected sort keys group is set to "Ascending".
- Make sure the Subtotal column in the Selected sort keys group is set to "No".
- Click the Options tab.
- Make sure the Settings column for the "Apply Client rounding" line is set to "No".
- Click the Formats tab.
- Click the folder icon on the "Report template file path" line of the right side of the Settings column.
- The Select Report Template dialog box will be displayed.
- Select the path in which the "WIP.RPT" file was installed when the TSCONV program was installed.
- Click on the "WIP.RPT" file.
- Click Open.
- Make sure the Settings column for the "Page break on primary sort" row is set to "No".
- Make sure the Settings column for the "Show Selection Criteria" row is set to "No".
- Click on the drop-down button next to the Print to field at the bottom of the window.
- Select the "File - comma delimited (CSV)" option.
- Click Print. The Save as window will be displayed.
- In the Save in field, select the drive and file path where Tabs3 is installed.
- Enter the text "WIP.TXT" in the File Name field.
- Make sure "Comma Separated Files" is selected in the Save as type field.
- Make sure the Export Column Titles check box is cleared.
- Make sure the Use Control Panel’s Regional Settings formatting check box is cleared.
- Make sure "MM/DD/YY" is selected in the Date Format field.
- Make sure "AM/PM - Default" is selected in the Time Format field.
- Make sure "H:MM" is selected in the Duration Format field.
- Make sure "0/1 - Default" is selected in the Boolean Format field.
- Click Save. The work-in-process will be exported.
- After the report is finished exporting, the Exported slips dialog box will be displayed. Select "No" in response to the question "Do you want to mark the slips as exported?".
- Close the Set Up Report window.
- Click Yes if the message "Do you want to save the changes you made to this Report Definition?" is displayed.
- Now, go back to the General Procedures
section and resume with step 2.
