Ultimate! Call Accounting Transaction Interface Program

Overview

The ULTIMATE program is a DOS program. It is used to convert telephone expense transactions from an Ultimate! Call Accounting data capture unit to be compatible with the Tabs3 Merge Data Capture Transactions program (Tabs3 Version 3.4 or later).

The ULTIMATE program must reside in the same directory as the Tabs3 programs in order to work properly. The Tabs3 program directory can be found by starting Tabs3 and selecting Help | About Tabs3.

Note: The Create Validation Files program must be run before you can successfully use this data capture device interface program. The Create Validation Files program is found in Tabs3 by selecting the following menu options: Maintenance | Integration | Create Validation Files. When creating validation files, select a Validation File Type of Data Capture Device.

Note: This DOS program cannot be run under a 64-bit operating system. Although ti can be installed on a 64-bit server, it must be run froma non-64-bit workstation.

Installation

The Ultimate interface program (Ultimate.EXE) must be transferred to the directory on your hard disk where the Tabs3 program files reside. This is done by using the Setup program on the Ultimate interface program CD.

To install the Ultimate interface program on your hard disk:

  1. Insert the Ultimate interface program CD into your CD drive.
     
  2. The installation program will automatically start.

    Note: If the CD Autorun feature is disabled, click the Start button, and then click Run…  Click the Browse button and navigate to the CD drive.  Double-click the LAUNCH.EXE file.  Click OK.
     
  3. Follow the on‑screen instructions to install the software onto your hard disk.

Executing the ULTIMATE Interface Program

Use the following procedure for conversion:

  1. Transfer the data from your Ultimate! Call Accounting data capture device to your computer's hard disk. The data must be in ASCII format and must reside in the Tabs3 program directory.
  2. Note: Ultimate! Call Accounting has an interface program that will output their data to an ASCII format. When exporting the data from Ultimate! Call Accounting, select the Tabs3 Export format.

  3. From a DOS prompt, start the interface program by entering:
  4.         ULTIMATE

  5. The first time you run the ULTIMATE program, you will be asked to enter the Tabs3 transaction code number that you use for telephone expense.
  6. Note: The transaction code number will be stored in a parameter file named ULTIMATE.PRM Each time the ULTIMATE program is executed, it will read the UNTIMATE.PRM file and use the same transaction code number.

  7. Next, you will be asked "Do you want to use the generated transaction descriptions? (Y/N)". If you enter "Y" the program will include the phone number and the extension number from the Ultimate! Call Accounting telephone data file. If you enter "N" the program will use the description of the transaction code from Tabs3 specified in the previous step. Once you specify how you want the descriptions, the ULTIMATE program uses that same method each time you run the program.
  8. Next, you will be prompted to enter the input file name containing the Ultimate! Call Accounting telephone data.
  9. You will be asked "Is it OK to continue? (Y/N)". If you enter "N" the program will be aborted. If you enter "Y" the program will look for the specified file containing the Ultimate! Call Accounting system's data. If the file is found to contain data, the program will display the message "Converting Transactions" followed by a count of each transaction read from the file. The files T3EXPKEY.REM, T3EDESC1.REM and T3EXP.REM will be created which can be merged with the main Tabs3 data files. You must then start Tabs3 and run the Merge Data Capture Transactions program in Tabs3 for Windows. Run the Import Data from Data Capture Devices program in DOS versions of Tabs3.

Important: Be sure to clear the transactions from your Ultimate! Call Accounting system's memory to avoid duplication of data merged with your Tabs3 files.

Note: If you are not using a demo version of the program, the Ultimate! Call Accounting telephone data file will automatically be deleted when the conversion is complete to avoid double posting of the data.

Note: You may change the telephone transaction code or the transaction description method in the future by deleting the file ULTIMATE.PRM which is created in your Tabs3 directory during Step 3 above. This will enable you to go through the setup procedure described above in Step 3 as a first time user of the program.
