Taskbill Integration Requirements for
Tabs3 and Cosmos

This document provides technical information about how to set up Tabs3 in order to facilitate the export of information to the format required by Cosmos. Please review this document carefully before attempting to export data for Cosmos matters.

Task Based Billing

The Task Based Billing Client check box must be selected in Tabs3 for all Cosmos matters. This option is found on the Setup tab in the client data entry program in Tabs3. Selecting this option will force you to enter task codes instead of transaction codes when entering Work-in-Process for Cosmos matters.

Costs Note: When entering costs in Tabs3, you are required to enter both the Phase/Task code and the Expense code. However, the TASKBILL program exports the Expense code only.

Special Fields

There are several fields required for Cosmos that are not in Tabs3. The fields are the Currency Type and Case Reference. During configuration, you are given the choice of where to store these fields in the Tabs3 client file. The following table gives a list of available locations. You will have to make sure to set up all of your Cosmos matters the same way so none of the fields are missing in the electronic data file for any individual matters.

Note: Although you can use any of the following locations to store the special fields, we recommend you use Custom Fields for all of the special fields. However, if you configured clients prior to Version 11 (when Custom Fields were not available), it is not necessary to change all of the matters to use Custom Fields to store the information.

Note: The Currency Type is a three character abbreviation of the currency used in your firm (i.e., USD for U. S. Dollars or CAN for Canadian dollars).

Timekeeper Name

Cosmos requires the timekeeper first name, last name, and middle initial to be exported in separate fields for each fee. TASKBILL was written with the assumption that you have entered timekeeper names in the following format: first name followed by an optional middle initial followed by the last name (i.e., John A. Smith). Trailers (i.e., Jr., III, Esq., etc.) will be converted as part of the last name.

Output File Names

Three files are automatically generated by the TASKBILL program for each unique statement date. The output file names are in the following format: ???MMYY.0NN, where "???" represents "INV", "DET", or "DIS", "MM" represents the month, "YY" represents the year, and "NN" represents the number of unique statement dates used per month. For example, if you ran statements on 2 days in November 1998, 2 sets of 3 files would be created (files INV1198.001, DET1198.001, & DIS1198.001 and INV1198.002, DET1198.002, & DIS1198.002).

Each set of 3 files would contain all the statement detail info for all statements with the same statement date. The "001" files would be created first. The "002" files would be created when a different statement date than the date used to create the "001" files is used.

Note: You are not allowed to change the export file name, though you can change the file path.
