Taskbill Integration Requirements for
Tabs3 and Fireman’s Fund

This document provides technical information about how to set up Tabs3 in order to facilitate the export of information to the format required by Fireman’s Fund. Please review this document carefully before attempting to export data for Fireman’s Fund.

Task Based Billing

The Task Based Billing Client check box must be selected in Tabs3 for all Fireman’s Fund matters. This option is found on the Setup tab in the client data entry program in Tabs3. Selecting this option will force you to enter task codes instead of transaction codes when entering Work-in-Process for Fireman’s Fund matters.

Note: When entering costs in Tabs3, you are required to enter both the Phase/Task code and the Expense code. However, the TASKBILL program exports the Expense code only.

Special Fields

There are several fields required for Fireman’s Fund that are not in Tabs3. The fields are the Claim Number and Claim Name. During configuration, you are given the choice of where to store these fields in the Tabs3 client file. The following table includes a list of available locations. You will have to make sure to set up all of your Fireman’s Fund matters the same way so none of the fields are missing in the electronic data file for any individual matters.

Note: Although you can use any of the following locations to store the special fields, we recommend you use Custom Fields for all of the special fields. However, if you configured clients prior to Version 11 (when Custom Fields were not available), it is not necessary to change all of the matters to use Custom Fields to store the information.

Note: There are 2 fields, the Claim Name and the Matter Name, that are exported for Fireman’s Fund matters. The Matter Name is stored in the Tabs3 work description, as noted in the "Other Fields" section below. In most instances, the same text is entered into both the Claim Name and the Matter Name. However, once in a while, the text in the Claim Name will need to be different than text in the Matter Name. Please refer to your Fireman’s Fund guidelines for instances when the fields are different.

 

Timekeeper Level Mapping

During configuration, there is an additional window of configuration options that must be set up. This window can be accessed by clicking More Config shown at the bottom of the Task Billing Configuration window. The More Config button opens a window called Other Taskbill Configuration. The left side of this window consists of the 9 Tabs3 timekeeper levels. You must map each Tabs3 timekeeper level to an associated Fireman’s Fund timekeeper level. There are 10 timekeeper levels for Fireman’s Fund: Administrative/Clerical, Associate, Clerical Staff, Contract Attorney, Contract Paralegal, Counsel, Junior Partner, Paralegal, Partner, and Senior Partner. You will be required to map every Tabs3 timekeeper level even if you do not currently use all of the levels. Once the timekeeper levels have been mapped, the right side of this window will show the associated Fireman’s Fund timekeeper level.

To map a timekeeper level (or edit a timekeeper level mapping), highlight the desired Tabs3 Timekeeper Level. Then, select the desired Fireman’s Fund timekeeper level from the lookup list shown at the bottom of this window. Click Save Item to save the mapping and update the information shown in the window. Repeat these procedures for each Tabs3 timekeeper level. When you are finished, click OK to close the Other Taskbill Configuration window.

Other Fields

There are some other Tabs3 fields that need to be set up to ensure the correct information is exported for Fireman’s Fund. The Tabs3 work description and state corresponds to the Fireman’s Fund matter name and jurisdiction.
